How certificate information is handled.

Certify Studio provides the system. The organization named on your certificate controls the attendee and certificate records it enters.

Information held

The issuing organization may record your name, ID number, email address, designation, attendance status, event details, certificate number, and delivery history.

How information is used

The app uses these records to manage attendance, create certificates, confirm their status, and deliver certificate links. Organization roles limit access inside the workspace.

Public verification

A verification record may show your name, designation, issuing organization, event, serial number, certificate code, issue date, venue, and credited hours. Printable certificate pages require a private link that expires after 30 days.

Email delivery

When an organization connects Power Automate, certificate delivery data is sent to its Microsoft 365 flow. Microsoft and the issuing organization handle that data under their own agreements and policies.

Security and access

Workspace pages require sign-in. The app checks organization roles on the server, protects printable certificates with random expiring links, hashes those link tokens in storage, checks uploaded images, and records selected administrative actions.

Your requests

Contact the issuing organization to request access, correction, deletion, or restriction of your personal information. The organization may retain certificate records when law, accreditation, or legitimate recordkeeping duties require it.

Link sharing

Anyone who receives a printable-certificate link can use it until it expires. Do not post that link publicly. The issuing organization can revoke the certificate, which also disables active printable links.
